01Who This Policy Covers
This Privacy Policy describes how AdvisoryScout collects, uses, and protects information in connection with our services. AdvisoryScout provides services to financial advisors and advisory firms. This policy covers information collected from advisors who use our platform, information about advisor clients provided by advisors for event detection purposes, and information collected from publicly available sources.
02Information We Collect From Advisors
When advisors create an account and use our platform, we collect name, email address, firm name, billing information, and account credentials. We collect information about platform usage including scan history, approved and dismissed events, and CRM integration settings. We do not sell advisor account information to third parties.
03Information Advisors Provide About Their Clients
Advisors may provide information about their clients including names, employers, locations, and household members to enable event detection. This information is used solely to query publicly available sources for the purpose of detecting relevant life events. We do not use advisor-provided client information for any purpose other than operating the detection service for that advisor. We do not sell, share, or license advisor-provided client information. We do not use this information to contact advisor clients directly. We do not process financial account data, social security numbers, dates of birth, or other sensitive personal identifiers as part of our service. Advisors are responsible for ensuring they have appropriate authority to provide client information to third-party service providers under their applicable client agreements and regulatory obligations.
04Publicly Available Information We Process
AdvisoryScout queries publicly available sources including news websites, press release services, public regulatory databases, public court records, public business registries, and other publicly accessible sources. Information retrieved from these sources is processed to identify potential life events and is surfaced to advisors for review. Publicly available information retrieved through our detection process is not permanently stored beyond what is necessary to present detected events to advisors and maintain event history within the platform.
05How We Use Information
We use advisor account information to provide, maintain, and improve our services, process billing, and communicate with advisors about their accounts. We use advisor-provided client information solely to perform event detection as described in this policy. We use aggregated, anonymized usage data to improve platform performance and detection quality. We do not use any information collected through our platform for advertising purposes.
06Data Retention
Advisor account information is retained for the duration of the subscription and deleted within 30 days of account termination. Advisor-provided client information is retained for the duration of the subscription and deleted within 30 days of account termination or upon advisor request. Detected event history is retained within the platform for the duration of the subscription. Billing records are retained as required by applicable law.
07Data Security
AdvisoryScout implements industry-standard security measures including encryption of data in transit and at rest, access controls limiting employee access to advisor data, and regular security monitoring. No security measure is perfect, and we cannot guarantee absolute security. In the event of a data breach affecting advisor account information, we will notify affected advisors within 72 hours of discovery.
08Third-Party Services
AdvisoryScout uses third-party services to provide event detection including search APIs, public data providers, and cloud infrastructure providers. These providers process queries on our behalf and are contractually prohibited from using data processed on behalf of AdvisoryScout for their own purposes. A list of our primary data processing partners is available upon request.
09GLBA Acknowledgement
AdvisoryScout is designed as an internal workflow tool for financial professionals and does not process consumer financial information as defined under the Gramm-Leach-Bliley Act. Advisors are responsible for ensuring their use of third-party tools including AdvisoryScout complies with their obligations under GLBA, applicable SEC and FINRA rules regarding the use of client information, and their firm's written information security program.
10California Privacy Rights — CCPA
California residents who are AdvisoryScout account holders have the right to request disclosure of personal information we have collected, request deletion of personal information we hold, and opt out of the sale of personal information. 11Changes to This Policy
We may update this Privacy Policy from time to time. We will notify advisors of material changes via email or in-platform notification at least 30 days before changes take effect. Continued use of the platform after the effective date of any change constitutes acceptance of the updated policy.
